YOUR ROLE

 

A proactive and experienced Assistant Facilities Manager responsible for the effective management of day-to-day facilities and security operations across our office and warehouse sites at CEVA Logistics. An expanded role to manage/lead facilities operations across an expanding logistics footprint, driving complex multi-site projects including new fitting-out, reinstatement, relocation, and site migrations, while championing corporate sustainability initiatives and maintaining rigorous standards of facilities documentation.

 

WHAT ARE YOU GOING TO DO?

 

  • Manage and implement preventive maintenance programs for key infrastructure systems, including ACMV, M&E services, BMS, Security Access Control, Cleaning & Pest Control, Landscaping, and General Building Services, to ensure optimal performance and lifespan across an expanding multi-site portfolio.
  • Manage and coordinate Addition & Alteration (A&A), refurbishment, reinstatement, fitting-out, relocation, enhancement projects and other capital works to ensure quality, compliance, and timely delivery —specifically leading new site setup, fit-outs, transitions, and site migration projects to support the growing logistics footprint.
  • Develop and execute preventive maintenance work plans to ensure uninterrupted facility operations and contract compliance
  • Evaluate and manage service vendors/contractors for maintenance, servicing, and repair works; ensure M&E systems and equipment function reliably
  • Monitor and ensure timely renewal of all authority licenses and term maintenance contracts. Meticulously gather user/operational requirements and prepare highly structured documentation for contract renewals and procurement tender specifications
  • Collaborate with internal teams e.g. Operations, IT, QHSE to drive continuous improvement in facilities, performance and standards. Partner with sustainability committees to implement green building initiatives and energy-conservation projects.
  • Oversee and evaluate the performance of service providers (hard and soft services), ensuring KPIs and SLAs are met.
  • Promptly address user feedback and ensure rectification works are completed with minimal disruption
  • Establish high standards of documentation, including compiling detailed tender comparison summaries, budget trackers, and management reports.
  • Drive facilities sustainability programs, supporting carbon footprint reduction, waste management optimization, and energy/water efficiency tracking.
  • Perform any other duties as assigned by supervisor or management.

 

WHAT ARE WE LOOKING FOR?

 

Essential

  • Diploma or Bachelor’s Degree in Facilities Management, Building Services, Engineering, or a related discipline
  • At least 2 to 3 years of in facilities management experience in industrial and/or commercial/ developments.
  • Good technical knowledge of M&E systems and familiarity with local regulatory guidelines, building codes, and safety standards.
  • Proven experience managing multiple distributed sites concurrently, and a track record of successfully executing fitting-out, reinstatement, and site relocation/migration projects.
  • Proficiency and aptitude in structural documentation, including drafting comprehensive technical specs, tender evaluation summaries, and requirement gathering for contract renewals.
  • Strong interpersonal, negotiation, and communication skills; able to engage effectively with both internal and external stakeholders.
  • Meticulous, highly organized, and structured approach to project tracking and record-keeping.

 

 

Desirable

  • Green Mark Accredited Professional (GMAP), Green Mark for Advanced Accredited Professional (GMAAP). Certified Green Mark Facilities Manager [Certified GMFM], Accredited Professional (Facilities Management)
  • Logistics industry experience preferred
  • Knowledge of security systems, building, real estate and authoritative regulations. Ability to understand building plans (PDF or Auto CAD).
  • Resourceful, detail-oriented, and results-driven with excellent organizational and time-management skills
