Job Description

 

Position Title:             Executive Assistant to President

Department:               Executive   

Reports to:                  President

Location:                     CMA CGM (America) LLC Office - Norfolk, VA

 

Position Summary:

This position reports directly to the President in providing a wide range of high-level administrative support as well as be responsible for the daily oversite of the administrative areas to include executive assistant, local on-site managers, executive visitors from Head Office and the daily operations of the Senior Leadership Team / Executive Team.

 

This position will be responsible to:

 

  • Serves as the President’s liaison by providing smooth communication between the President’s office and home office, customers, internal staff and various organizations by demonstrating leadership and confidentiality to maintain credit, trust and support by all.
  • Plans, coordinates and ensures the President schedule is followed. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the President’s time and office.
  • Prepares ad hoc assignments as requested by the President. Researches, prioritizes, and follows up on issues and concerns. Determines appropriate course of action, referral, or response.
  • Completes various administrative tasks for the President to include: booking travel, compiling/creating documents for meetings, drafting letters, personal correspondence, filing, printing/copying, binding, filing expense reports.
  • Approve expense reports and travel on the President’s behalf utilizing the company’s/group’s policies and auditing them prior to obtaining the President’s approval.
  • Weekly Reporting: Research information, prepare and distribute as required presentations, reports, graphs, charts and spreadsheets.
  • Expense Reports: prepare, reconcile, and submit per company policy.
  • Backup Executive Admin(s) when a fellow team member is out on PTO/leave. Same will be expected of other team members.
  •  Prepares, arranges and coordinates meetings and events. Has authority to enter into contractual arrangements with hotels, conference centers, restaurants and caterers on behalf of the Company. Prepares, maintains and oversee budgets for such meetings and events. Travel to location of coordinated meetings and events as necessary to assist in preparation and daily tasks required for a successful meeting.
  • Reconcile Corporate Credit Cards for Corporate Dept and President. Prepare and submit statement/reports as per Company Policy.
  • Monthly Reporting as required.
  • Provides R. Saade or other HO Senior Staff visiting Norfolk or in attendance of CCA USA meetings/events high-level administrative support.
  • Develop and implement a more formal program through teamwork within the executive administrative team to ensure a professional level of support is maintain in the day-to-day operations for the executive area and Senior Leadership Team.
  • As the administrative team within the company grows, maintain oversight to the team to ensure all admins receive proper training, initiate consistent communication within the admin team to build solid foundation as a team, to support one another during PTO/leave, identify potential candidates to promote, and to be up-to-date on the happenings within the company
  • Manage calendar for Executive Boardroom. Maintain the Boardroom: cleanliness, equipment functions, supplies on-hand. Provide coffee/water/meals when needed
  • Manage and maintain Executive Kitchen: cleanliness, equipment functions, supplies (bottled water, coffee, Company chinaware, etc.)
  • Miscellaneous related duties or Projects as assigned.

 

 

 

Skill Sets / Education & Experience Requirements:

 

  • Bachelor’s Degree
  • Minimum of 3-5 years Executive Administrative experience, preferably in the shipping and service industry.
  • Proven track record in senior level positions with a strong network of contacts to build relationship with staff, external partners and customers.
  • Time management and strong organizational skills that reflect the ability to multi-task and prioritize, plan work activities efficiently and seamlessly to meet all deadlines in a fast-paced environment.
  • Highly resourceful team-player, with ability to work well under pressure, maintain confidentiality, and to be extremely effective independently.
  • Proven ability to handle consistent change in the work environment by managing competing demands, frequent change, delays or unexpected events, with the highest level of response and efficiency. Self-directed, displays initiative and can work independently showing strong attention to detail with excellent follow-up, problem solving skills, and the ability to seek alternative solutions for dilemmas, problems and situations at hand.
  • Continual adaptability to change in a fast-pace and heavy workload environment through managing competing demands and dealing with frequent change, delays and unexpected events.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability and emotional maturity.

  • Excellent working knowledge of Microsoft office products, especially Outlook, Word, Excel PowerPoint with the ability to quickly adapt and work with other new software as needed.
  • Ability to handle difficult personalities and high-pressure situations.

  • Ability to maintain a positive attitude at all times.
  • Willing and able to work non-office hours to provide assistance “as needed”.
  • Must possess high maturity level and professionalism in order to act professionally even during “social” work events.
