Documentation Officer (Temporary/ 6 Months Contract)

Role & Responsibilities:
- Ensure timely and accurate preparation and delivery of all shipping documentation (export/import documents, Bills of Lading, VGM, etc.) in line with agency service requirements
- Collect, review, and validate all necessary data and supporting documents required for documentation processes, ensuring completeness and accuracy
- Prepare full sets of import and export documentation, including BL issuance and amendment processes, and related invoicing activities
- Coordinate closely with customers, agents, ports, and internal stakeholders to ensure seamless and efficient document flow
- Monitor documentation timelines to ensure compliance with cut-off times, regulatory requirements, and operational deadlines
- Identify discrepancies, missing information, or documentation errors and proactively follow up to resolve issues in a timely manner
- Ensure compliance with international trade regulations, port and country requirements, and company policies and procedures
- Support customer invoicing processes by ensuring correct documentation and data alignment
- Maintain accurate records through proper document management, system entry, and archiving practices
- Contribute to risk mitigation by following internal control procedures and escalating potential issues when necessary
- Provide operational support and contribute to continuous improvement of documentation processes
Skills & Requirements:
- Bachelor’s degree (preferably in Logistics, International Trade, Business Administration or related fields)
- Experience in shipping / logistics operations, particularly in import/export documentation processes is preferred
- Solid understanding of shipping documentation and operational workflows
- High attention to detail with a strong focus on accuracy and quality
- Strong coordination and communication skills with internal and external stakeholders
- Ability to multitask, prioritize and work under tight deadlines in a fast-paced environment
- Proficiency in MS Office applications (especially Excel) and familiarity with relevant IT systems
- Fluency in written and spoken English (part of the interview will be conducted in English)
