Position Summary:
The Front Desk Documentation Officer serves as the first point of contact for customers in the Service Delivery Department. This role is responsible for managing and verifying shipping documentation, processing Delivery Orders (DO), ensuring compliance with company policies, and maintaining accurate records. The officer plays a key role in ensuring efficient and accurate service delivery to customers while safeguarding the company’s operational integrity.
Key Responsibilities:
- Customer Interaction & Documentation Handling:
- Serve as the initial point of contact for customers requesting Delivery Orders (DO).
- Handle all incoming documentation related to cargo delivery, ensuring accuracy and completeness.
- Cross-check the authenticity of submitted documents before processing.
- Verification & Release of Delivery Orders:
- Conduct final checks on release authorities, Bills of Lading (B/L), and other required documents according to the department’s checklist.
- Verify document alignment with company policies and shipping requirements prior to releasing the Delivery Order.
- Revalidate Delivery Order expiry dates as needed, subject to confirmation of payment.
- Invoice & Payment Management:
- Prepare and issue customer invoices in coordination with the finance team.
- Ensure prompt collection of payments prior to DO release.
- Check for and follow up on any DDSM (Delivery Documentation System Module) outstanding items.
- Record Keeping & Filing:
- Maintain organized records of all received and processed documents including release authorizations, Bills of Lading, Letters of Indemnity, and related shipping documents.
- Ensure timely filing and retrieval of records for audit and compliance purposes.
Qualifications and Requirements:
- Diploma or Bachelor’s degree in Business Administration, Shipping Management, Logistics, or a related field.
- Minimum 1–3 years of experience in shipping documentation, logistics, or customer service (preferably within a shipping line or freight forwarding environment).
- Strong attention to detail and ability to handle documentation accurately.
- Good communication and interpersonal skills to manage customer interactions effectively.
- Proficient in Microsoft Office and familiar with shipping documentation systems.
- Knowledge of Bills of Lading, Delivery Orders, and general shipping procedures.
