Claims Officer

Claims Department
- To ensure that timely act on the emails received for Malaysia & Singapore ports in compliance to meet our agreed business requirements.
- Manage all enquiries via email and escalate to legal team ensuring that suitable responses are provided within the agreed timelines.
- Provide suitable solutions and follow up till completion of the job and ready for delivery
- Follow up with relevant authority / terminal for cargo on authority / terminal hold till obtain release of the hold
- Manage Daily report to ensure timely reporting to management on the cargo exception
Key Responsibilities:
1. Seal Missing
Ensure Seal Missing emails is attended and arranged for re-seal within 2 working hours upon email received.
2. Reworking
- Ensure damage/leaking email notification is attended and follow up with SSC legal team within 2 working hours upon email received
- Upon receiving approval from SSC legal team to proceed with the rework. Ensure to obtain approval within 2 days upon email received
- Approval required from LPK (for all types of cargo), MAQIS, Health Authority (for food cargo)
- Ensure appoint Vendor and surveyor to arrange for the rework witin 1 working day
- Follow all the steps as per SOP for Pre & Post transloading activities
- Ensure DagangNet declared, NMC obtained from terminal & ZB3 submitted and approved.
3. Container Detention/Examination by Malaysian Customs & Authorities
- Ensure to attend customs detention notice email within 2 working hours upon email received.
- Ensure to notify SSC legal team to inform POL/POD
- Ensure appoint surveyor to arrange for the inspection within 1 working day
- Follow all the steps as per SOP for Pre & Post for the inspection activities
- Follow up with the customs / Authorities for release of the container
4. Managing Equipment For Fumigation, Inspection, Disposal
- Ensure to attend Fumigation / Inspection / Dispoal request email within 2 working hours upon email received.
- Ensure inform all the involved parties is well informed (SSC legal terminal/authorities/surveyors/disposal vendor and fumigators)
- Ensure to arrange for the fumigation / Inspection / Disposal as per the SOP
- Ensure appoint Fumigator and Surveyor to arrange for the activity within 1 working day
- Follow up till completion of the activity and provide the cert and Report accordingly to SSC team
5. Manage and Update Daily Report
- Ensure all the daily activity is updated in excel by EOB
- A report detailing the day's work progress has been attended and submitted, indicating that tasks status In progress, Pending, complete
6. Cost reduction & Process improvement
- Check or Request for lowest rate quotation for Re-working, Fumigation, Inspection, Disposal activity and ensure lowest rate quoted Vendor and Surveyor is appointed
- Ensure terminal / any party involved is placed on liability for the cost involved for damage / leaking cases
- Special Tasks: Ensure to execute special tasks given to PIC
- Ensure Weekly update on pending customs hold / containers on hold in terminal status to all the parties involved (Check Parklist)
- Ensure to check OJT and onboard new users
- Conduct Bi-weekly or monthly knowledge sharing / Refresher sessions
- Project for process improvement by review SOP/Checklist/Process Automation
- Attend to VCR RFI for both Singapore and Malaysia
Requirement:
1. O Level/Diploma/Degree holder in any discipline.
2. At least 2 years of experience with Logistics, Forwarding Agency and warehousing
3. Good communication and interpersonal skills
4. Strong leadership qualities and being able to work in a highly dynamic environment
5. Wide business contacts and able to deals with government authorities, terminals
