JOB SUMMARY
To act as an accomplished Executive Assistant, providing proactive and comprehensive to the UK Managing Director (UK MD) and wider UK Senior Leadership Team (UK SLT).
The Executive Assistant will demonstrate exceptional organisational skills, be solutions driven with an adaptable and professional approach.
In this pivotal role, you will manage delegated tasks on behalf of the UK MD, whilst leveraging your advanced administrative skills to create impactful presentations and reports for Senior Leaders, manage complex schedules and workstreams, and act as a trusted partner for sensitive and business-critical matters.

YOUR ROLE
- Provide proactive and comprehensive executive support to UK Managing Director (UK MD), including complex diary management, prioritising and responding to emails and managing complex travel arrangements & itineraries (UK and international).
- Prepare high-quality documentation, reports and presentations (advanced PowerPoint skills essential) for Executive meetings at local and Group level, VIP stakeholders and customers and external stakeholders.
- Support the preparation and distribution of agendas, meeting minutes, and action items; proactively follow up with all relevant stakeholders on outstanding actions.
- Confidently manage delegated tasks from the UK MD, working closely with wider Senior Leadership Team (SLT) to ensure timely completion of business-critical projects and initiatives.
- Liaise closely and build strong working relationships based on trust with internal stakeholders at all levels of the organisation, e.g. UK SLT and Global Executives.
- Manage sensitive and confidential information with the utmost discretion, acting as a trusted partner and somebody the UK MD can confidently delegate critical matters to.
- Effectively monitor and report on the status and execution of delegated tasks by the UK MD, providing guidance and support as required to maintain accountability and timely completion.
- Support with project management, event planning and special assignments as required, including hosting of VIP visits to the CMA CGM UK Agency.
- Provide operational support, including expense management, invoice processing and onboarding of new senior team members as required.
- Act as escalation point for internal or external stakeholders (e.g. Customers) on behalf of, or in the absence of the UK MD.
- Support with oversight of Facilities Management matters, on behalf of the UK MD.
WHAT WE NEED FROM YOU
- Proven experience as an Executive Assistant or Personal Assistant, providing comprehensive Executive administrative support to C-suite & senior Executives in a global or complex corporate environment.
- Exceptional organisational skills, with high levels of resilience and the ability to manage multiple priorities in a fast-paced environment.
- Flexible, proactive and adaptable in your approach, with a solutions-focused mindset and the ability to change tack at short notice to ensure unwavering support to the UK MD and wider UK Agency.
- Excellent written and verbal communication skills; able to build effective relationships and interact confidently with senior leaders and external partners, in the UK and internationally.
- Tactful and trustworthy, with high levels of integrity, professionalism and judgement when handling confidential and sensitive matters.
- Advanced proficiency in MS Powerpoint and other MS Office tools, with demonstrable experience of producing exceptional, impactful presentations for Executive and VIP stakeholders, both internally and externally.
- Experience of managing and coordinating business projects and initiatives, ensuring adherence to internal policies and frameworks.
- Proficiency in the French language (verbal and/or written) would be advantageous, but is by no means essential.
