ABOUT THE ROLE
As Executive Assistant to the VP Compliance and the VP Performance & Cost Efficiency, you will play a key role in supporting two strategic functions within the Group. Acting as a trusted business partner, you will ensure the smooth coordination of daily activities, facilitate communication with internal and external stakeholders, and contribute to the efficiency of both departments.
This position requires a highly organized, proactive and discreet professional who thrives in a fast-paced international environment.
KEY RESPONSIBILITIES
Executive Support
- Manage complex calendars, meetings and appointments for both Vice Presidents.
- Organize business trips, conferences, workshops and leadership meetings.
- Act as the primary point of contact between the executives and internal and external stakeholders.
- Prepare, review and format presentations, reports, correspondence and other business documents.
- Attend meetings when required and prepare meeting minutes and executive summaries.
- Handle sensitive and confidential information with the highest level of professionalism.
Administrative & Financial Coordination
- Support the administrative management of both departments.
- Manage purchase orders, including creation, monitoring and reconciliation.
- Review and pre-validate invoices related to consultants, external service providers and statutory auditors.
- Coordinate engagement letters and related administrative follow-up.
- Monitor and follow up on funding requests from agencies and subsidiaries.
- Support the tracking and coordination of various financial and governance processes.
Reporting & Communication Support
- Contribute to the preparation of reports, presentations and corporate documentation in both French and English.
- Ensure the quality, accuracy and timely distribution of information and documentation.
- Support internal communication and reporting activities across both functions.
PROFILE
- Bachelor's degree or equivalent higher education qualification
- Fluent English, both written and spoken
- Advanced proficiency in Microsoft Office Suite
- At least 5 years of successful experience in a similar position, preferably within an international and multicultural environment
