About the Role: 

 

Reporting to: Office Services Manager

 

Employment Type: Fixed term untill July 2027, full-time

 

Work Location: South Wharf, VIC

 

As an Administration Assistant, you will provide professional reception and switchboard support while ensuring visitors, correspondence, and office operations are managed efficiently and courteously. You will also assist with procurement, administrative tasks, and provide support across the Office Services team and wider business as required.

 

The role and responsibilities will include:

 

  • Managing incoming switchboard calls and directing enquiries in a professional and timely manner
  • Providing front desk reception support and welcoming visitors to Head Office
  • Coordinating incoming and outgoing mail, courier deliveries, and office correspondence
  • Assisting with procurement and ordering of office supplies and services in line with company procedures
  • Supporting the Office Services team, executive members, and other departments with general administrative tasks as required

 

To be successful in this role, you will need:

 

  • Previous experience in administration, reception, or customer service roles
  • Strong communication and interpersonal skills with a professional and friendly approach
  • Excellent organisational skills with the ability to manage multiple tasks and priorities
  • Confidence using Microsoft Office and general office systems
  • A proactive attitude with the ability to work collaboratively within a team environment

 

Eligibility Requirements

 

  • Applicants must have full working rights in Australia for the entire duration of the contract.
  • New Zealand citizens planning to relocate permanently to Victoria, Australia, are more than welcome to apply.
