We are looking for a temporary personal assistant until end of March 2026.

 

The Personal Assistant assists the General Manager in optimizing the administrative organization and thereby management of activities. From diary management to working with senior management on projects concerning multiple disciplines within the organization; they liaise with relevant managers and stakeholders to obtain necessary reporting information for Head Office. They also attend the directors and management review meetings, as well as maintaining the calendar and action lists.

 

The key responsibilities of the Personal Assistant are as such :

  • Prepare, support, and follow up meetings for MD, Management Team (MT), Senior Management team (DT) (agenda, presentations, task list, etc.)
  • Schedule different meetings that require multiple participants
  • Work with (Senior) Management Team on projects concerning multiple disciplines in our organization.
  • Ensure HO questions are answered in time (liaise with all relevant managers and stakeholders)
  • Ensure everyone in our organization is aware and updated on all important information distributed by the worldwide organization
  • Distribute and follow-up on HO instructions and queries
  • Create PowerPoints and other reports for the organization
  • Attend DT and MT meetings, maintain agenda and action lists
  • Create reports (asked and unasked) to support business
  • Involvement in all (new) processes or tools (outsourcing / new CMA CGM tools)
  • Implement/amend processes that will lead to quality improvement (for customer / internal / time or cost saving)

 

SKILLS AND COMPETENCIES:

  • Highly organized and self-motivated with ability to plan and coordinate workflows
  • Minimum professional experience of 2/3 years in the same position
  • Perfectly fluent in Dutch and English
  • Very good command of IT and Office tools
  • Versatile, trustworthy, rigorous, responsive, and organized
  • Strong interpersonal communication and writing skills
  • Strong sense of service and self-sufficient
  • Ability to handle highly confidential information
