Senior Administrative Assistant

The Senior Administrative Assistant will be responsible for completing a variety of administrative support tasks in support of Senior Managers. This includes managing time, phone lines, e-mails, appointments, and meetings to ensure our day-to-day office operations run smoothly. You will be included in highly confidential, complex, and sensitive matters. The incumbent will model and act in accordance with our guidelines, principles, and core values. This is a first shift opportunity, Monday through Friday, 9:00 am - 5:30 pm, where you are expected to flex your schedule and work overtime as needed. 




  • Prepare a variety of highly confidential, specialized, recurrent, and non-recurrent reports and documentation related to the department's function and the company's business activities.
  • Prepare, compose, and initiate accurate and timely correspondence, memoranda, presentation material and reports, choosing an appropriate means of communication.
  • Develop and maintain paper and electronic files, systems and procedures related to the administrative affairs of the department's function.
  • Maintain issue-specific files; ensure all filing systems are updated and maintained on a daily and weekly basis.
  • Perform a broad range of complex administrative functions of a highly confidential or specialized nature on a regular basis, requiring initiative and judgment to make independent decisions for which probable errors may have a moderate impact on expense.
  • Coordinate a variety of resources and obtain information for special projects and assignments.
  • Coordinate and schedule meetings, conferences and appointments.
  • Coordinate and maintain manager's calendars as needed.
  • Answer routine and non-routine telephone calls, providing information to callers, including senior management and key external sources.
  • Maintain confidentiality of all information.
  • Maintain awareness of departmental and organizational goals and objectives; and policies and procedures.
  • Make travel arrangements and process expense reports for senior management.
  • Process incoming and outgoing correspondence for postal mail and email.
  • Perform other duties as assigned.

Education and Experience

  • High School Degree or GED required.
  • Five years of Administrative Assistant experience is required.
  • Bachelor's Degree preferred; one year of Administrative Assistant experience and a Bachelor's Degree qualifies you for this position.
  • Industry related experience is highly desired.


Certifications and Licenses

  • CAP (Certified Administrative Professional) preferred; or.
  • CAA (Certified Administrative Assistant) preferred


Languages and Communication Skills

  • Must be able to read, write and speak English fluently.
  • Ability to communicate and interact effectively with multi-functional and diverse backgrounds.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from management, employees, customers, and vendors.


Computer Skills

  • Must be PC literate
  • Expert proficiency in Microsoft Office, internet, web-based and specific job related software applications.


Other Skills/Experience

  • Demonstrated ability to compose, edit and proof read written documents (routine letters, business correspondence and reports of varying complexity).
  • Ability to produce error-free documents from rough draft involving a standard business vocabulary, or a limited range of specialized recurrent terminology.
  • Skilled in the creation of spreadsheets, elaborate reports, charts, graphs and other word processing documents.
  • Excellent planning, time management, collaboration, decision making, organization, presentation and negotiating skills.
  • Knowledgeable of company policies, practices and operations.
  • Must be flexible, able to balance multiple tasks and changing priorities, and possess exceptional interpersonal skills.
  • Ability to display a strong sense of urgency and good judgment.
  • Excellent communications skills.
  • Ability to collaborate with internal and external resources, gain credibility with senior management, and manage through conflict with a positive, flexible attitude.
  • Ability to support team members in furthering departmental goals through open and honest communication, promoting team interests over self-interest.
  • Requires a high degree of integrity and the ability to maintain confidentiality.
