Job Summary :
Monitor and support vessel calls at Singapore Port in ensuring prompt dispatch of vessels, execution of husbandry matters, and urgencies are attended to with utmost care and diligence under the guidance of seniors.
- Overview and support for Vessel’s Operations, and performance
- Overview and support for execution of Husbandry arrangement
- Support service for cargo management
Job Responsibilities :
Vessel Operations
- Monitor and respond promptly to operational emails from vessels, principals, vendors, terminals, and internal stakeholders.
- Create and maintain vessel port calls, ensuring ETA and schedule information is always up to date.
- Update the BTR daily before 1200 hrs.
- Follow-up with terminals and ARO on berth arrangements and monitor any changes to vessel schedules.
- Daily communication with terminal on berth lineup, moves discrepancy, connection checking, special requirement if any from Master or Line ops.
- Track vessel arrivals, departures, and cargo operations, ensuring all required reports are received and submitted on time.
- Monitor each vessel's progress throughout its port stay until departure, addressing operational issues as they arise.
Cargo Planning & Coordination
- Keep cargo throughput and loading information up to date.
- Review cargo summaries, loading plans, and special cargo requirements to ensure accuracy.
- Coordinate loading plans with terminals, vessel officers, ship managers, and other operational teams.
- Closely monitor tight and super-tight cargo connections to minimize delays and ensure smooth cargo flow.
PCD & PCP Coordination
- Monitor vessel ETA updates and communicate any changes to relevant stakeholders.
- Prepare and issue PCP (berthing prospect) notices according to the required timeline:
Husbandry & Vendor Coordination
- Coordinate vessel husbandry services (ISS OPS) , including:
- Special arrangement, Bunkering, Underwater inspections (UWI), Hot work permits, Surveys and certifications, Sludge disposal, Delivery and return of vessel spares
- Work closely with vendors and service providers to support operational needs, including urgent requests and vessel emergencies.
Reporting & Administration
- Respond promptly to emails, Microsoft Teams messages, and operational group chats to ensure effective communication across all stakeholders.
- Ensure vessel departure report is sent within 24hrs upon vessel sailed
Job Requirements:
- Preferably with working experience in similar capacity in shipping industry.
- Ability to communicate independently with Agencies, Terminals & Partners.
- Possesses excellent interpersonal skills and good communication skills in English and Bahasa Malaysia, both oral and written.
- Computer Literate (Microsoft Office Applications).
- Willing to support operations outside normal working hours, including weekends and public holidays.
- Positive attitude, mature & proactive with minimal supervision.
