We are seeking a temporary Port Operations Officer to join our team till end of October 2025.
ABOUT THE ROLE
As a Port Operations Officer you prepare, follow up, and handle ship files in the most efficient and cost-effective manner.
The key responsibilities of the Port Operations Officer are divided as such :
- Handling incoming emails and phone calls in multiple languages
- Preparing the approach of a ship, requesting the arrival date, and communicating this information to terminals and agents
- Informing partners loading on CMA CGM ships about deadlines for forwarding data
- Communicating deadlines imposed by other partners within the organization
- Preparing and compiling forecasts regarding the volumes to be loaded, following up on changes such as cancellations and/or additional cargo
- Ensuring that systems are updated in a timely manner by booking agents
- Internal consultation with the 'cargo readiness team'
- Ensuring the closing of a ship is respected and adjusting the closing if necessary when the estimated arrival date of a ship changes, and communicating this information
- Checking that all declarations for dangerous cargo are approved and that the accompanying documents (DGDs) are in order
- Sending the final loading list to the various "cargo flow teams"
- Following instructions from these teams and adjusting the loading list if necessary
- Timely forwarding of the final loading list, reefer, and OOG lists to ship planners and terminals
- Consulting with the terminal to ensure that containers that are not in order (e.g., no VGM/customs document/approval for dangerous goods) are not loaded
- Optimizing loading lists to ensure the full capacity of the ship is utilized
- Updating data in internal systems so that the next ports can correctly declare the cargo to local authorities
- Timely forwarding of loading and unloading lists to all involved parties after the ship's departure
- Investigating the cause of non-loaded containers and providing solutions to prevent recurrence in future shipments
SKILLS AND COMPETENCIES
- Excellent communication skills in Dutch and English with knowledge of technical terms, both spoken and written. Knowledge of French is a plus.
- Basic knowledge of maritime transport (terminology, modes of transport, geographical knowledge, types of containers, product knowledge)
- Basic knowledge of maritime, commercial, and customs documents
- Ability to work with current technology and common software
- Understanding the operational process of exporting shipments
