Transshipment Officer

CMA CGM Malta Transhipment office is seeking to recruit an Operations Assistant on definite contract of 6-months, subject to renewal, to join the Operations team. Based in Malta and reporting to the General Manager, the Operations Assistant will be responsible to perform various duties such as responding to container tracking, having daily communication with teams both locally and abroad, compiling, upkeeping and submission of reports, maintaining filing system as well assisting the General Manager as and when required.
The successful candidate will be active listener with attention to detail, able to work as a team player, able to manage time and multitasking. This is an exciting opportunity for a young self-motivated and energetic person with the ability to build and maintain good relationships with colleagues both internal and external, customers and service providers alike.

 

Position Summary Description:

  • Responding to container tracking inquiries from other agents by providing complete and accurate information regarding container activity and status.
  • Engaging in daily communication with local government departments to coordinate Military, Class 1 & 7, and Radiations shipments, ensuring that Transit Licenses are obtained in advance as required*.
  • Coordinating with Malta Freeport Corporation and our partner agencies in North Africa for the issuance of Non-Manipulation Certificates (NMC) and ensuring these documents are uploaded to the SharePoint folder in a timely manner.
  • Supplying Maltese Customs with requested documentation, such as Bills of Lading, Cargo Manifests, Packing Certificates, Invoices, and other relevant paperwork, on a daily basis.
  • Coordinating with various agencies, vessel commands, and the Seals department within the Head Office in Marseille, regarding the distribution of bold and plastic seals on various operated vessels from Malta.
  • Conducting weekly follow-ups with Customs to address withheld shipments in Malta.
  • Managing the procurement of office supplies, including stationery, groceries, and cleaning products.
  • Preparing and submitting documents via DHL/FEDEX courier services.
  • Assisting the General Manager with a range of administrative tasks and arrangements.
  • Maintaining an organized filing system for efficient record-keeping.
  • Compiling and updating various reports such as:
    • Daily Stock Evolution Report
    • Daily Reefer Plugs Occupancy Report
    • Weekly generation of LCR11 Report (Invalid JL, Missing Nominations)
    • Weekly Yard Restow Report
    • Weekly Break-Bulk Operations Report
    • Weekly Long Idles Report
    • Weekly Crane Allocation Report
    • Weekly Customs Held Shipments Report
    • Weekly MFT Billing Recaps + Invoices (pdf files)
    • Monthly Productivity Report
    • Monthly Transhipment Report
    • Monthly Creditors Invoices – compiling and submitting to the Accounts dept.
  • Assist the General/Operations Manager and the Operations Team as and when required.

* This office is communicating between HO (Specialized Cargo Dept), MFT HSE and various Governmental depts (such as Commerce, Radiation, Customs, etc..).

 

Skills / Abilities:

  • Ability to work as a team and to maintain good working relationships with colleagues, internal and external customers.
  • Ability to manage time and self-motivate.
  • Ability to multitask.
  • Responsible to work inflexible hours when the need arises.
  • Fluent in English, knowledge of a second language is a plus.
