Documentation Officer

MISSIONS:
The main mission Service Delivery – Documentation Assistant/Officer/Senior Officer is to ensure timely local and international local customs declaration, perform pre-invoicing controls, and complete all documentation transactions not transferred to GBS while complying to legal and Group standard with the aim of continuously achieving customer satisfaction.
RESPONSIBILITIES:
Export
• Loading Confirmation to Customers.
• Local customs declaration (if not transferrable to GBS)
• Coordination of changes after call closure (eg COD, switch BL, BL reissuance)
• Audit documentation risks and resolve/escalate in a timely manner
• Pre-Invoicing Controls
• Ensure No Doc No Load Policy
Import
• Local customs declaration (if not transferrable to GBS)
• Check and Manage missing/incorrect Cargo-In-Transit updates
• Pre-Invoicing Controls
• Manage incorrect/Missing Partner code issues(If not transferred to GBS)
Idle Full
• Identify Import and export idle Containers
• Notify Intermodal of Idle Carrier Haulage & Customers
• Send Legal notifications in line with Group Idle Full process
• Contact claims and escalate complex cases
• Provide idle container status updates to Logistics to update LARA tracking
KEY PERFORMANCE INDICATORS:
• Transactional Case resolution TAT
• Bill of lading and Amendment TAT & Accuracy
• Arrival notices TAT
• Export and Import call closures on time
• Timely completion and escalation of documentation transactions
• Less than 30Days Idle full containers
QUALIFICATIONS AND PROFILE:
• Strong knowledge in Shipping Industry (minimum 5 years of experience)
• Graduate (3 years regular course ) Any bachelor degree or Equivalent University Degree
• Knowledge of legal and / or regulatory frame
• Knowledge of port / country regulations
• Risk management knowledge
• Incoterms knowledge
