Apprenticeship - Administration Assistant Expense

THE ROLE 

 

Under the responsibility of the Administration Manager, the apprentice will support the users of the expense tool. 

 

 

RESPONSIBILITIES 

 

You will be in charge of the following main missions:

  1. Control and validation of expense reports:
    • Verify the compliance of expense reports with the company's travel policy.
    • Check the consistency of amounts, supporting documents, and synchronization with the missions carried out.
    • Validate expense reports after verification.
  2. Administrative management:
    • Correct or reject expense reports in the dedicated software.
    • Ensure the follow-up of advance requests.
    • Transmit expense reports to the accounting department.
  3. Support and advice:
    • Answer employees' questions regarding the travel policy and reimbursement procedure.
    • Raise awareness among employees about the proper use of expense reports.

 

 

PROFILE AND QUALIFICATIONS

 

  • Bachelor's degree in Accounting, Management, Administration, or equivalent.
  • Rigor, organizational skills, good interpersonal skills, ability to work in a team.
  • Previous experience in accounting or administrative management would be a plus.
  • Discretion, autonomy, responsiveness, service orientation. Good level of communication (both written and oral). 
  • English proficiency would be a plus. 
  • Proficiency in Microsoft Office (Word, Excel) and ideally in accounting software.
