Sr. Payroll Officer

Position Summary
The Sr Payroll Specialist performs all activities necessary to process multi-state and multi-cycle payroll. Maintains records, audits, tax accounts, including maintaining related records, voluntary deduction reports, processing involuntary deductions, configuration, reconciliation, preparing accounting reports, documenting, and updating procedures, and preparing special reports for Finance and Management. Provides workflow management and mentorship to the payroll team and serves as the backup to the Payroll Manager.


Functions & Duties
•    Process multi-state, multi-cycle payrolls from beginning to end. Coordinates with supervisors and managers to ensure payroll records are updated and accurate before processing payroll. Audits time entries to confirm adherence to   

     company policies and procedures and make adjustments as needed. Resolves payroll discrepancies, prepares and distributes applicable management and accounting reports. Assists with year-end activities such as W2 reporting, tax

     reconciliation, and processing/posting additional annual compensation. 
•    Coordinate workflow of payroll reports needed to audit payroll for all pay groups. Performs audit and finalizes payroll in UKG for each pay group. Assist and work with payroll team in supporting their workload. 
•    Assist with post payroll review of output and assist with recommending process and procedure improvements. 
•    Management of tax accounts includes new registration, tax rate changes, POA filing, granting third-party access on accounts, establishing account logins, etc. 
•    Establish wage attachment controls SOP, manages and audits wage attachment withholdings and responses to agencies. 
•    Audit and review of employee tax setup. Coordinates with payroll processor to correct historical records if applicable. Assist and work with payroll team in supporting their workload. 
•    Assist with HRIS and Payroll system maintenance and configuration.
•    Respond to payroll-related inquiries from associates and managers timely and professionally. Coordinates appropriate training for associates and managers on UKG if needed. 
•    Assist with year-end activities such as W2 reporting, tax reconciliation, and processing/posting additional annual compensation. 
•    MISCELLANEOUS RELATED DUTIES or PROJECTS AS ASSIGNED

 

Knowledge, Skills, Abilities 

•    In-depth knowledge of local, state, and federal regulatory requirements related to payroll 
•    Proficient in interpreting collective bargaining agreements for pay rules, benefit requirements, and attendance plan rules (vacation, sick, holiday, etc.)
•    Working knowledge of state and federal tax laws
•    Ability to understand system configuration and impact on earnings and deductions
•    Proficient in MS Office products, with advanced knowledge in Excel.
•    Ability to prioritize and manage multiple responsibilities.
•    Responds with a sense of urgency; excellent follow-through skills. 
•    Attention to detail, organized and thorough with a desire for continuous process improvement
•    Ability to maintain a high degree of sensitivity and exercise discretion in regards to confidential material
•    Strong analytical skills, attention to detail, demonstrated ability to maintain a high degree of accuracy, and work well within a deadline driven environment.
•    Must be flexible and able to work in a team-based and fast- paced environment.
•    Provide workflow management and support of a team

 

Qualifications 

  • High school diploma or GED required; Bachelor's degree preferred
  • 3+ years multi-state payroll experience required
  • Experience with Canadian payroll preferred
  • Experience with unionized and non-unionized payroll preferred
