MAIN PURPOSE

  • To provide support to Planning Team & Transport Management.
  • Responsible for preparing KPI reports for Transport Management and providing administrative duties to the department.

 

 

MAIN RESPONSIBILITIES

  • Main point of contact for all vendors & Planners with their correspondence to CCIS Landside via email & phone.
  • Prepare and write daily and weekly statistics including daily/weekly AM/PM haulage statistics, productivity, cost-saving analysis
  • Resolve transport issues where possible including by phone and email
  • Assist in requesting and sending Proof of Delivery/CMR notes for all loads when required and in sending paperwork required to go with deliveries
  • Confirm jobs prior to haulier statements being produced and update system if required
  • Ensure TOPPS and other TMS systems are accurate from day to day i.e. container numbers are input into relative systems (Tops and Destin8) if required.
  • Investigate containers not restituted by hauliers, or showing as still out to customer. Resolve any issues resulting in containers not being returned to correct quay
  • Assist in Late Runners in a timely & prompt manner to relevant Customer Service Department
  • Assist in requesting and sending Proof of Delivery/CMR notes for all loads when required and in sending paperwork required to go with deliveries.
  • Confirm jobs prior to haulier statements being produced and update system if required
  • Provide Holiday Cover within the team.
  • Investigate any errors regarding Planning teams and highlight these issues to planning/ management
  • Process updating, if required.
  • System updating- such as Haulier rates, PPM (pence per mile, every month).
  • CMA self billing/ Rate confirmations on haulies- Invoice raising

 

 

KEY COMPETENCIES & QUALIFICATIONS

 

SKILLS & EXPERIENCE

  • Previous experience in a transport role preferred
  • Ability to work on own initiative and provide reports and statistics (mainly Excel-based), consistently accurate and in a timely manner
  • Previous customer service experience desirable
  • Self-driven and motivated in a repetitive task environment
  • Excellent communication skills in responding to and resolving customer/haulier queries by phone and in writing
  • Attention to detail
  • Ability to organise and prioritise workload
  • Experience of improving working procedures and streamlining reporting functions desirable

PRACTICAL & TECHNICAL KNOWLEDGE

  • Good understanding of in-house computer systems (Tops, Truckcom, VBS systems, Destin8 & CNS)
  • Excellent knowledge and skills with Microsoft Office, with a focus on Word and Excel
  • Excellent ability to produce Excel reports and collate data
  • Good UK geographical knowledge desirable
  • Awareness of UK road haulage
  • Good understanding of port systems and haulage companies desirable
  • Basic shipping knowledge desirable

 

 

SPECIFIC INFORMATION FOR ROLE

  • Resolution of any issues impacting suppliers or internal customers
  • Provision of statistics in a timely manner
  • Haulage covered in advance when required
  • Update of group system with all relevant and required information, within timescales
  • Minimal input errors
