YOUR ROLE
We are looking for an experienced Project Logistics Operations Administrator - Aid & Relief to plan, implement, moderate, coordinate, monitor and develop sustainable customer-oriented services as well as developing client relationships.
WHAT ARE YOU GOING TO DO?
- Receive and verify customer orders, instructions, and documents; crosscheck quotations and ensure document accuracy.
- Coordinate logistics and services with stakeholders including principal office, branch offices, exports team, subcontractors, and others.
- Draft invoicing instructions and process billing; receive and dispatch bills of lading within agreed timeframes.
- Monitor the progress of all transactions daily; represent client interests to stakeholders.
- Collect and dispatch invoices; issue client complaint forms and report them to the Head of Department.
- Assess required information upon order receipt; follow up with relevant parties to avoid delays.
- Maintain awareness of each client’s financial status; follow up on overdue payments and inform clients of payment requirements.
- Keep clients informed of shipment progress; suggest operational improvements.
- Schedule and conduct monthly client visits; submit visit reports within 24 hours.
- Report accidents or irregularities with potential financial impact to management immediately.
- Maintain and update files daily; ensure proof of delivery is available before file closure.
WHAT ARE WE LOOKING FOR?
- Degree in Procurement, Supplies and Logistics Management or any other related course
- A minimum of Three (3) years working experience, in a reputable Clearing & Forwarding or Shipping Company
- Excellent presentation skills is important for collaborations with key clientele and other key stakeholders.
- Customer focused mind set aligned for profitable business.
- Meet deadlines all the time with minimal supervision
- Effective communication skills, both written and oral. Excellent English speaking and writing skills.
