OCEAN OPERATIONS ADMINISTRATOR / AGENT FACTURATION

YOUR ROLE

In coordination with the Operations, Customer Service, Accounting, Sales, and Freight Forwarding/Logistics teams, the Billing Officer is responsible for managing the entire billing process of the department, from collecting and verifying cost elements to issuing invoices, while ensuring administrative and contractual compliance of operations.

WHAT ARE YOU GOING TO DO?

• Prepare customs, services, and disbursement invoices
• Ensure that quotations are included in the file
• Receive and verify the compliance of billing files
• Prepare invoices by applying agreed or contractual rates
• Process credit notes according to management instructions
• Submit files to the Responsible Officer/Head of Department for invoice validation
• Ensure timely invoicing
• Send customer invoices within deadlines
• Monitor files pending invoicing
• Identify and report any issues encountered during operations
• Report any anomalies or difficulties to the direct supervisor
• Apply and comply with rules, procedures, and work instructions related to the position
• Make suggestions to improve the quality of work
• Comply with internal regulations, work procedures, and HSE (Health, Safety & Environment) requirements within the company

WHAT ARE WE LOOKING FOR?

Education

• Minimum of a two-year degree (Bac +2) in Accounting, Management, Logistics & Transport, International Trade, or Administration

EXPERIENCE

At least 2 years of experience in a similar position. Experience in freight forwarding/logistics is an asset

SPECIALIST KNOWLEDGE & SKILLS

• Basic to advanced general knowledge of ocean operations and services
• Basic analytical skills and a strong service-oriented mindset

Desirable: Basic to advanced knowledge of land, sea, and air operations and services

INTERPERSONAL & COMMUNICATION SKILLS

• Good communication with other departments

AUTRES INFORMATIONS

The Billing Operations Administrator must be able to master the applicable tariffs

As a member of the Operations team, he/she will be required to open files and carry out billing

Handle maritime, air, and land operations when necessary
