YOUR ROLE

 

We are seeking an Air & Ocean Import Coordinator on a permanent full-time basis (38 hours per week) based from our Beverley SA offices.

 

The role manages all inbound shipments – air and ocean – from pre-alert through to final invoicing. The role ensures compliant and efficient clearance, accurate documentation, and timely delivery of cargo while safeguarding margin integrity. Responsibilities include coordinating service providers, negotiating carrier rates, preparing invoices and accruals in CargoWise, and maintaining visibility throughout the shipment lifecycle.

 

The role directly supports CEVA’s commercial performance by administering and monitoring supplier contracts, ensuring operational and financial compliance, and driving continuous improvement in process efficiency and system governance.

 

WHAT ARE YOU GOING TO DO?

 

Specifically, you will:

 

  • Coordinate and administer all air and ocean import files in CargoWise, ensuring each shipment is managed in accordance with contractual service levels, compliance standards and agreed pricing.
  • Negotiate and manage service contracts and carrier rate agreements across air and ocean modes to optimise yield for LCL, FCL and consolidation shipments, ensuring commercial competitiveness and cost control.
  • Liaise with airlines, shipping lines, co-loaders, ground handlers, customs brokers and cartage providers to secure capacity, arrange transport and ensure timely cargo release and delivery.
  • Prepare, lodge and reconcile customs and biosecurity documentation, ensuring full compliance with ABF, DAFF, MPI and related regulatory requirements.
  • Verify supplier invoices, raise accurate accruals and finalise customer billing so that revenue is recognised correctly and credit-note risk is minimised.
  • Handle temperature-controlled and healthcare shipments in accordance with WHO GDP and CEVA SOPs, monitoring time-out-of-refrigeration and escalating excursions.
  • Configure, enhance and administer CargoWise workflows and customer set-ups to streamline data accuracy, automate milestones and increase team productivity, acting as a system super-user and subject-matter expert.
  • Lead and participate in continuous-improvement initiatives focused on contract efficiency, system configuration and process optimisation, aligning operational practice with company governance.
  • Communicate proactively with overseas offices, customers and service providers regarding shipment status, exceptions, service recovery and contractual performance.
  • Maintain accurate electronic and financial records, prepare activity and compliance reports and participate in internal and external audits to demonstrate contract compliance.

 

WHAT ARE WE LOOKING FOR?

 

Our ideal candidate has:

 

  • Diploma-level qualification in a relevant discipline
  • Minimum 3 years’ end-to-end import operations across air and ocean modes, including CargoWise milestone and contract management
  • Experience negotiating and administering service contracts and supplier agreements
  • Air & ocean freight documentation, INCOTERMS and import compliance
  • Carrier rate negotiation, yield optimisation and contract administration
  • CargoWise configuration and reporting
  • Understanding of Australian import and biosecurity regulations
  • Negotiation with carriers and service providers
  • Clear written and verbal communication
  • Customer-centric approach
  • Effective stakeholder engagement and influence
  • Preferred: Bachelor’s degree in business, logistics and supply chain or similar.
