Key Responsibilities:
- Manage and request all necessary documentation required for import shipments, ensuring compliance with regulatory and company standards.
- Coordinate updates of purchase orders (POs) with suppliers, supporting real-time accuracy and responsiveness to supply chain needs.
- Compile and deliver daily reports identifying potential operational risks for cross-functional teams including projects, procurement, planning, and research & development.
- Schedule and monitor export transportation to ensure timely dispatch of raw materials, packaging, machinery, spare parts, and molds.
- Initiate and coordinate maritime freight requests with the finance department; verify freight charges with shipping lines to ensure accuracy and cost-effectiveness.
- Prepare, review, and validate export dispatch documentation, guaranteeing all paperwork adheres to international shipping requirements and company policies.
- Review accounts related to terrestrial transportation services; collaborate closely with finance to reconcile invoices and ensure timely payments.
- Evaluate and verify invoices from forwarding agents, coordinating payment processing with finance to maintain healthy supplier relationships.
- Assess transportation planning and forwarding assignments to optimise logistic routes and service quality.
- Generate comprehensive monthly operational reports to evaluate performance metrics and inform strategic decisions.
- Request and handle invoices, corrections, and technical information from suppliers and the procurement team to maintain accurate records and facilitate smooth transactions.
- Create proforma documentation for export shipments including packaging and raw materials; liaise with finance to manage invoice requests effectively.
- Coordinate the classification of new materials, supporting regulatory compliance and facilitating efficient inventory management.
- Develop detailed reports for the finance department providing clear insights into logistics expenses and operational efficiency.

Ideal Candidate Profile:
- Experience in logistics, supply chain, or import/export coordination roles.
- Strong understanding of shipping documentation, freight processes, and financial invoice handling.
- Proficient in generating reports and analysing operational risks.
- Ability to communicate effectively in a multidisciplinary team environment and liaise with international suppliers and internal departments.
- Detail-oriented with excellent organisational skills and the ability to prioritise tasks in a fast-paced setting.
- Proactive problem solver committed to maintaining compliance and operational excellence.
