Summary: We are seeking a detail-oriented and proactive Administrator to provide comprehensive administrative support to a manager and their team. This role is critical to ensuring smooth day‑to‑day operations, financial accuracy, and compliance with quality, health, safety, and environmental requirements.
Key Responsibilities
- Provide direct administrative support to the manager and their team across day-to-day operational needs.
- Support PO creation and receipting, ensuring accuracy, completeness, and timely processing.
- Act as the AP administrator for non-trade accounts, including system setup, maintenance, user support, and issue resolution.
- Manage QHSE paperwork and reporting, ensuring documentation is accurate, up to date, and compliant with company and regulatory standards.
- Prepare, track, and maintain records, reports, and files related to finance, safety, quality, and operations.
- Coordinate with internal stakeholders (finance, procurement, operations, QHSE teams) to resolve discrepancies and follow up on outstanding items.
- Support audits and reviews by providing required documentation and reports.
- Handle other administrative tasks as needed, including scheduling, document preparation, data entry, and general office support.
Qualifications & Skills
- Proven experience in an administrative or office support role
- Familiarity with PO processes, invoicing, and financial systems (experience with Medius/APOC considered an asset)
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities and meet deadlines
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong communication skills and a proactive, problem-solving mindset
- Experience supporting QHSE documentation or reporting is an advantage
