YOUR ROLE

Administrative Assistant

We have an exciting opportunity for an Administrative Assistant to support operations in all aspects of onboarding new hires, answering employee inquiries, scheduling appointments, maintaining electronic records, preparing reports, and coordinating training activities. This role performs a variety of administrative and clerical duties, including advanced spreadsheet management, accounts payable support, recordkeeping, and general office administration.

The Administrative Assistant serves as a key point of contact for employees, visitors, and vendors, providing administrative support while helping to ensure the efficient operation of the facility.

WHAT ARE YOU GOING TO DO ?

  • Coordinate and support the onboarding process for new hires, including maintaining personnel records in partnership with the Hub Manager.
  • Organize and maintain filing systems, personnel files, and other business records.
  • Create and maintain Excel spreadsheets and reports to support operational and administrative activities.
  • Review invoices, employee time records, and supporting documentation for accuracy, identifying discrepancies or duplicate entries before submission for processing.
  • Submit timesheets and invoice documentation to Payroll and Accounts Payable for processing and approval.
  • Maintain accounts payable records and filing systems in an organized and accurate manner.
  • Build and maintain positive working relationships with managers, supervisors, employees, and external partners.
  • Partner with other departments and business units to ensure compliance with company policies, required postings, and documentation requirements.

 

WHAT ARE WE LOOKING FOR ?

 

  • Education & Experience: High school diploma or GED required, with a minimum of 2-3 years of related administrative experience and/or training.
  • Technical Skills: Advanced proficiency in Microsoft Office applications, particularly Excel, including creating spreadsheets, tracking data, and generating reports.
  • Organization & Multitasking: Ability to effectively manage multiple priorities in a fast-paced environment while maintaining attention to detail and accuracy.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with employees, customers, vendors, and all levels of management.
  • Interpersonal Skills: Demonstrated ability to build positive working relationships and provide excellent customer service.
  • Problem-Solving: Ability to identify issues, exercise sound judgment, and take initiative to resolve administrative and operational concerns.
