About the Role:
As a Logistics Handling Operations Team Leader within PT CEVA AIR OCEAN Indonesia, you will play a pivotal role in leading and overseeing the clearance support and documentation activities essential to our customs brokerage and logistics operations. This role requires a detail-oriented professional with strong leadership capabilities to coordinate project preparation, supervise administrative and documentation procedures, and ensure compliance with service level agreements (SLAs). You will be instrumental in maintaining accuracy, efficiency, and regulatory compliance in all aspects of customs clearance operations.
Key Responsibilities:
- Project Preparation: Plan, organise, and coordinate all clearance support activities related to new logistics projects. This includes liaising with internal teams and external stakeholders to ensure smooth initiation and execution of project requirements.
- Administrative & Documentation Supervision: Oversee the preparation, verification, and management of key customs clearance documents such as Delivery Orders, invoices, and other related paperwork. Ensure that all documentation complies with regulatory standards and company policies.
- SLA Monitoring: Monitor and manage adherence to service level agreements with internal teams and external partners to ensure timely clearance of shipments. Proactively address potential delays to prevent demurrage charges or storage costs.
- Performance Reporting: Prepare and present thorough periodic reports covering clearance support performance metrics, key performance indicators (KPIs), and any exceptions or issues encountered. Use these insights to drive continuous process improvement.
- SOP & Work Instructions Development: Develop, maintain, and regularly update Standard Operating Procedures and detailed work instructions relevant to customs documentation and clearance processes to ensure consistency and regulatory compliance.
- Billing Preparation: Coordinate and ensure the accuracy and completeness of documentation required for billing processes. This includes the reconciliation of operational data, vendor invoices, and other related costs to support financial accuracy.
- Team Leadership and Development: Lead, mentor, and motivate team members, fostering a collaborative and inclusive work environment. Provide coaching and development opportunities aimed at improving individual and team performance.
- Stakeholder Coordination: Act as the primary point of contact between customs authorities, vendors, and internal departments to resolve operational challenges and enhance service delivery.
- Compliance and Risk Management: Ensure all clearance operations adhere to applicable regulations and company policies, identifying and mitigating risks associated with customs clearance and documentation processes.
Qualifications and Skills:
- Proven experience in logistics handling, customs brokerage, or related fields, preferably within a team leadership capacity.
- Strong knowledge of customs clearance procedures, documentation standards, and regulatory requirements.
- Excellent organisational and multitasking abilities to manage complex projects and timelines effectively.
- Demonstrated ability to monitor and enforce SLAs and manage operational KPIs.
- Exceptional communication and interpersonal skills to engage effectively with diverse stakeholders.
- Proficiency in documentation management systems and standard office software applications.
- Leadership skills with a commitment to fostering diversity, equity, and inclusion within the team.
- Ability to analyse data and prepare detailed performance reports to support decision-making.
