HRBP Administrator

Job Purpose

The HRBP Administrator provides day-to-day administrative and coordination support to the HR Business Partnering function, with a strong emphasis on end-to-end recruitment. The role ensures accurate, compliant and efficient HR administration across the employee lifecycle, while driving timely, high-quality talent acquisition that supports CEVA Logistics' operational and strategic workforce needs. The incumbent acts as a first point of contact for line managers and employees on HR administrative and recruitment matters, working within South African labour legislation and CEVA policy and brand standards.

Key Responsibilities

Recruitment & Talent Acquisition

  • Manage the end-to-end recruitment process: job requisition intake, job profiling, advertising, sourcing, screening, interview coordination, offer administration and on boarding handover.
  • Partner with line managers to understand role requirements and draft accurate, compliant job descriptions and interview question sets, including structured and behavioural (STAR-format) questions.
  • Source candidates through appropriate channels (internal mobility, job boards, agencies, LinkedIn, referrals) in line with CEVA's Employment Equity and B-BBEE targets.
  • Coordinate and, where required, conduct first-round interviews and shortlist candidates for line manager review.
  • Prepare offer letters, employment contracts and, where necessary, offer withdrawal correspondence, ensuring alignment with the LRA, BCEA and CEVA policy.
  • Maintain accurate recruitment trackers, pipeline reports and time-to-hire / cost-to-hire metrics for HRBP and management reporting.
  • Support workforce planning and expansion initiatives by anticipating resourcing needs across warehousing, freight and corporate functions.
  • Ensure all recruitment activity is compliant with Employment Equity Act, PEPUDA and CEVA's diversity and inclusion commitments.

HR Business Partnering & Administration

  • Provide administrative support to the HRBP across the full employee lifecycle: onboarding, contract changes, transfers, terminations and exits.
  • Maintain accurate, up-to-date employee records and HR systems (HRIS) in line with POPIA and record-keeping requirements.
  • Support disciplinary, grievance and incapacity processes with accurate documentation, scheduling and note-taking, in line with the LRA and CCMA guidelines.
  • Assist with probation review administration, return-to-work interviews (RTWI) and absence management documentation.
  • Prepare and distribute HR letters, memos and policy communications using CEVA branding and formatting standards.
  • Support the coordination of employee engagement, wellness (EWP) and culture initiatives aligned to CEVA's People Strategy pillars.
  • Assist with UIF, COIDA and other statutory administration as required.

Reporting, Compliance & Continuous Improvement

  • Compile regular HR and recruitment reports/dashboards for the HRBP and People & Culture leadership.
  • Ensure all documentation and processes comply with the LRA, BCEA, OHSA, EEA and CCMA requirements.
  • Identify opportunities to improve recruitment turnaround times, candidate experience and administrative efficiency.
  • Maintain confidentiality and data integrity across all HR and recruitment records.

Minimum Requirements

Qualifications

  • National Diploma or Degree in Human Resources Management, Industrial Psychology or a related field.
  • Recruitment-related certification (advantageous).

Experience

  • 2–4 years' experience in an HR administration and/or recruitment coordination role, ideally within logistics, supply chain, warehousing or a similarly fast-paced operational environment.
  • Demonstrated experience managing end-to-end recruitment for both operational (warehouse/PPE) and corporate roles.
  • Working knowledge of South African labour legislation (LRA, BCEA, OHSA, EEA, CCMA, POPIA).

Skills & Competencies

  • Strong recruitment and sourcing capability, including interview design and candidate assessment.
  • High attention to detail and accuracy in HR documentation and record-keeping.
  • Excellent verbal and written communication skills, with the ability to draft professional HR correspondence.
  • Strong organisational and time-management skills; ability to manage multiple requisitions and deadlines simultaneously.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HRIS/Applicant Tracking Systems.
  • Sound understanding of employment equity, diversity and inclusion principles.
  • High level of confidentiality, integrity and professionalism.
  • Cultural intelligence and the ability to work across diverse teams and business units.
