Main areas of focus and accountability of the role :

 Logistics Operations Management:
•    Supervise and Oversee the execution of all Project Logistics Operations from Origin through transit to final destination ensuring milestones are achieved within agreed timelines.
•    Lead Project planning meetings and operational reviews to ensure alignment on project logistics operations deliverables.
•    Manage and identify operational risks and implement mitigation measures to prevent delays, disruptions, or additional costs.
•    Ensure all operational activities comply with CEVA policies, client requirements, local regulations, and international trade requirements.
•    Review shipping and commercial documentation to ensure completeness, accuracy, and compliance before operational execution.
•    Collaborate with internal teams, suppliers, government agencies and other stakeholders to optimize and facilitate smooth logistics processes and execution.

Customer Relationship Management:
•    Act as the first line escalation point for operations and customer service matters and inquiries related to Project logistics.
•    Build and maintain strong customer relationships through regular engagement and proactive communication.
•    Lead customer meetings, operational reviews, and project progress discussions.
•    Manage customer complaints, service issues, and escalations to ensure prompt resolution.
•    Identify opportunities to enhance customer satisfaction and expand business opportunities within existing accounts.
•    Conduct regular customer visits and prepare comprehensive visit reports and action plans.

Team Leadership and Performance Management:
•    Supervise and provide day-to-day leadership to Project Logistics Operations Administrators and Coordinators. 
•    Allocate workload effectively across the team based on operational priorities and resource availability.
•    Coach, mentor, and develop team members to improve productivity, service delivery, and professional growth.
•    Monitor individual and team performance against agreed KPIs and service standards.
•    Conduct performance reviews, provide regular feedback, and identify training requirements.
•    Ensure staff compliance with company procedures, attendance requirements, and operational standards.

Operational Compliance, Quality Assurance, Data Governance  & Reporting:
•    Review all project files managed by Project Coordinators to ensure completeness, accuracy, compliance, and timely execution of operational requirements.
•    Monitor File Openings, documentations and File closing of all project coordinators as per the required standards and timelines
•    Validate shipping documentation, customer instructions, and regulatory requirements, providing guidance on any gaps, risks, or corrective actions required.
•    Monitor customer account onboarding and operational setup processes to ensure all contractual, compliance, and operational requirements are fulfilled before execution.
•    Ensure Project Coordinators accurately capture date in a timely manner in the Transport Management Systems and other business systems to support operational integrity, financial accuracy, and management reporting.
•    Own data quality, compliance, and reporting governance within the Project Logistics function by proactively identifying and resolving data discrepancies and process gaps.
•    Monitor and analyze key operational and commercial KPIs, including On-Time Delivery (OTD), Gross Revenue (GR), Net Revenue (NR), Work in Progress (WIP), Accruals, Volumes, Profitability, Billing Timeliness, and Customer Service performance.
•    Leverage Power BI dashboards and reporting tools to identify trends, operational risks, service failures, revenue leakage, and opportunities for continuous improvement.
•    Act as the focal point for reporting requirements, dashboard enhancements, and collaboration with Business Process & Systems (BPS) teams to strengthen operational and commercial visibility and support data-driven decision-making.

Financial Management:
•    Review operational costs and ensure accurate revenue capture on all project files.
•    Verify timely and accurate billing of customers and recovery of all chargeable services.
•    Monitor project profitability through cost tracking and margin analysis.
•    Ensure additional costs and variations are communicated, approved, and invoiced promptly.
•    Support credit control efforts to ensure collections remain within agreed credit terms.
•    Assist management in preparing quotations, budgets, and operational cost estimates for project opportunities.

Adhoc Duties:
•    Performs any other duties that may from time to time be assigned by the line Manager and dotted Line Managers

•    Project Logistics Operations Senior Manager (Dotted Line)

Education & Qualifications:
Essential: Bachelors degree in Transport & Logistics Management or any other related course.
Desirable: A Professional qualification in Clearing and Forwarding, Project Management or Supply Chain Management is advantageous

Experience:

•    A minimum of Five (5) years working experience in logistics operations, customer service, or project logistics operations.
•    A minimum of Two (2) years working experience in a supervisory or team leadership position.
•    Experience managing complex project cargo movements and customer accounts.
•    Proven experience coordinating cross-functional logistics operations.

Specialist Knowledge & Skills:

•    Strong organizational and multitasking skills with attention to detail.
•    Excellent communication and interpersonal skills.
•    Proficiency in logistics management software and tools.
•    Knowledge of international shipping regulations and procedures is an advantage.
•    Ability to work under pressure and meet tight deadlines.
•    Problem-solving and strong analytical skills to address operational challenges effectively.
•    Excellent presentation skills is important for collaborations with key clientele and other key stakeholders.
•    Negotiation and conflict resolution skills.
