CEVA Air & Ocean Portugal is seeking a dedicated and skilled Forwarding Management Administrator to join our Customs Brokerage Compliance and Fiscal Representation team. This role is fundamental in ensuring the smooth and compliant management of customs and forwarding operations within our logistics framework in Portugal.
As a Forwarding Management Administrator, you will play a crucial role in facilitating effective customs processes for our clients, ensuring adherence to national and international regulations, and supporting the operational needs of the team within the division of Affairs and Compliance.
Key Responsibilities:
- Manage and administer customs forwarding procedures, ensuring timely and compliant documentation for imports, exports, and transit shipments.
- Act as a liaison between customs authorities, clients, and internal departments to ensure clarity and accuracy in all customs declarations and fiscal reporting.
- Ensure compliance with local and international customs regulations, keeping up to date with changes in legislation and advising the management accordingly.
- Coordinate with Customs Brokerage Compliance and Fiscal Rep teams to monitor and resolve any issues related to customs clearance and forwarding processes.
- Maintain accurate records and reports related to freight forwarding, customs brokerage, and fiscal representation activities.
- Support process improvements and implementation of best practices to enhance operational efficiency and regulatory compliance.
- Prepare and review documents such as bills of lading, commercial invoices, packing lists, and export licences to facilitate smooth customs handling.
- Provide administrative support within the division, including handling correspondence, contract management, and responding to auditing requests.
- Collaborate closely with logistics, shipping, and compliance teams to ensure seamless coordination of freight forwarding operations and customs clearance.
Candidate Profile:
- Demonstrated experience in customs forwarding management, preferably within the logistics and freight forwarding sectors.
- Strong understanding of customs regulations, import/export controls, and transport logistics in Portugal and the European Union.
- Excellent communication and interpersonal skills, with the ability to work collaboratively across multiple departments and with external partners.
- Detail-oriented and organised, capable of managing multiple tasks and deadlines efficiently.
- Proficient in using customs and freight forwarding software and tools; familiarity with digital documentation systems is a plus.
- Ability to adapt to changing regulatory environments and maintain compliance under pressure.
- Fluency in English and Portuguese, both written and spoken, is essential.
- A motivated, proactive, and solution-driven approach to challenges.
