Key Responsibilities
- Receive, register and validate customer orders in the TMS (Transport Management System), in line with quotations, cargo specifications, SOPs and other applicable requirements.
- Define the best execution plan for transport solutions, taking into account transit time, costs and any operational constraints/embargoes, in close collaboration with CES (Customer Expert Solutions).
- Handle all administrative tasks related to transport documentation (commercial invoices, packing lists, etc.).
- Check availability of goods for collection and obtain the necessary confirmations to ensure proper follow-up of the transport process.
- Optimise operational execution and prepare the transport plan (booking) together with CES (Customer Expert Solutions).
- Accurately enter and update all transport information in the TMS in a clear and concise manner.
- Prepare and issue all transport documentation in accordance with customer instructions and requirements.
- Manage communication and documentation flows with internal and external service providers/suppliers.
- Create and update status events in the TMS throughout the life cycle of each shipment.
- Monitor and improve supplier performance using the available tools and performance indicators.
- Coordinate with CES (Customer Expert Solutions) and record any irregularities/anomalies in the appropriate tracking files or maps.
- Ensure each process is complete and compliant in terms of documentation and regulatory/customer requirements, and upload all documents digitally into the TMS.
- Support the internal invoicing process by validating and checking all related costs.
- Issue and send invoices and all supporting documentation to customers.
- Participate in commercial/sales meetings when requested.
- Follow up on and manage significant operational deviations, informing management and/or central divisional services (legal, insurance, etc.) together with the line manager.
- Report any malfunctions or anomalies in accordance with company procedures.
- Liaise with the QHSE manager to ensure a proper understanding and application of the quality management system.
