YOUR ROLE

FREIGHT FORWARDING ADMINISTRATOR

A freight forwarding administrator coordinates the movement of goods on behalf of shippers, handling the documentation, communication, and logistics details that keep cargo moving from origin to destination.

The role is the administrative backbone of freight forwarding: making sure every shipment has the right booking, the right paperwork, and clear communication among all parties, so cargo clears customs and arrives on time and on budget.

WHAT ARE YOU GOING TO DO?

  • Coordinate inbound and outbound shipments by air, sea, and road.
  • Monitor cargo movements from the point of origin through to final delivery.
  • Prepare and submit shipping documents, including invoices, packing lists, bills of lading, and cargo manifests.
  • Coordinate customs-clearance procedures with customs brokers and relevant authorities.
  • Monitor cargo arrival schedules and communicate shipment updates to clients and internal teams.
  • Arrange transportation of cargo from ports, airports, or warehouses to the project site.
  • Ensure cargo is handled, stored, and documented correctly upon arrival.
  • Prepare, maintain, and archive complete operational files for every shipment.
  • Track shipment-related operational costs and assist with job-file reconciliation and closure.
  • Maintain shipment-tracking reports and cargo-movement logs.
  • Report cargo delays, damage, incidents, safety concerns, and other operational risks.
  • Ensure logistics operations comply with company procedures, customs regulations, safety standards, and client requirements.
  • Serve as the main on-site contact for the client's logistics team
  • Coordinate communication among site teams, operations offices, transporters, port agents, customs brokers, and other service providers.
  • Verify supplier invoices and prepare customer billing instructions.
  • Participate in logistics coordination meetings and provide reports requested by management or clients.
  • Promote freight-forwarding services and help maintain professional relationships with clients, contractors, and authorities

Qualifications & Experience

  • At least 5 ‘O’ Levels including English and Maths or Accounts
  • At least a Diploma in Customs and Freight Forwarding
  • Minimum of 2 years working experience in the freight and logistics industry
  • Effective communication and stakeholder management skills
  • Strong administrative and record management skills
  • Customer focussed with high level of professionalism and integrity

WHAT ARE WE LOOKING FOR?

  • Strong knowledge of transportation, logistics, and supply chain operations.
  • Proven leadership and team supervision skills.
  • Excellent planning, coordination, and organizational abilities.
  • Strong analytical and KPI reporting capabilities.
  • Good understanding of transport cost control and operational efficiency.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong problem-solving and decision-making skills.
  • Excellent stakeholder management and negotiation skills.
  • Customer-focused mindset with a commitment to service excellence.
  • High level of integrity, accountability, and attention to detail.
  • Good communication skills with a good command of English.
