YOUR ROLE
CEVA Logistics are seeking a Compliance & Site Administration Coordinator, to play a critical role in supporting the safe, secure and compliant operation of our site. Working within a highly regulated environment, you will be responsible for maintaining compliance records, administering security and vetting processes, coordinating mandatory training activities, and providing essential operational and administrative support.This is a varied role that combines compliance administration, security management, personnel record keeping, and site coordination, ensuring the operation remains audit-ready and fully compliant with regulatory, customer and company requirements.
WHAT ARE YOU GOING TO DO?
As a Compliance & Site Administration Coordinator, you will support the management of key regulatory and compliance processes across the site, ensuring accurate record keeping and adherence to operational standards. Administer activities relating to Aviation Security (AVSEC), Civil Aviation Authority (CAA) requirements, Dangerous Goods compliance, Good Distribution Practice (GDP) standards, GDPR requirements and Disclosure and Barring Service (DBS) vetting processes. This includes maintaining records, coordinating checks, managing renewals and ensuring all documentation is accurate, current and audit-ready. Take ownership of staff security administration, maintaining employee records, training files and site access registers. You will issue security passes, manage access permissions, verify eligibility requirements and ensure all vetting and compliance records remain up to date.
You will coordinate mandatory training activities, arranging bookings, maintaining training records and ensuring compliance requirements are met across the workforce. You will also support internal and external audits by providing accurate documentation and evidence when required. In addition, you will manage meeting room bookings and site visitor arrangements, coordinating room set up, audio visual requirements, catering and hospitality services for both UK and international visitors.
WHAT ARE WE LOOKING FOR?
To be successful in this role, you will have previous experience working within an administrative, compliance, security or records management role, ideally within a regulated environment such as aviation, logistics, transport, healthcare or pharmaceuticals. You will be highly organised and able to manage large volumes of information with exceptional accuracy and attention to detail. Experience maintaining confidential records, managing compliance documentation and working to strict deadlines is essential. Have strong IT skills, including Microsoft Office applications and experience using databases, record management systems or scheduling platforms. The ability to prioritise effectively and balance multiple responsibilities is key. Knowledge of Aviation Security (AVSEC), DBS processes, GDPR, Dangerous Goods regulations or Good Distribution Practice (GDP) standards would be advantageous, although training can be provided for the right candidate.
