YOUR ROLE
Our operation based in Hounslow is looking for a Healthcare Air Operations Coordinator to join the team. In this role you will be responsible for managing end-to-end international airfreight shipments of medicinal products in full compliance with GDP standards, ensuring accurate documentation, temperature-controlled handling, and seamless coordination with airlines, warehouses, and stakeholders.
This is a Monday to Friday role, 08:30 to 16:30, with every other Saturday required (with a day off in lieu on the following Monday).
WHAT ARE YOU GOING TO DO?
- Coordinate end-to-end healthcare airfreight shipments for multiple clients, ensuring secure cargo handling and timely handover to transport
- Arrange flight bookings and transport in line with operational and client requirements
- Complete MAWBs (Master Airway Bill) accurately and raise airway bill entries in the system
- Produce and verify all export and customs documentation, including declarations and commercial paperwork, in line with SOPs
- Liaise with airlines, handling agents and internal teams to ensure smooth shipment execution and uplift
- Monitor shipments from handover through to delivery, issuing pre-alerts and maintaining accurate status updates
- Handle customs entries for customers in compliance with regulations
- Monitor and track shipments, providing updates to Customer Service teams
- Prepare and process shipping documentation, ensuring accuracy before handing over to the warehouse/export team
- Support operational finance tasks including costing and invoicing
WHAT ARE WE LOOKING FOR?
Our ideal candidate will have experience in healthcare air freight operations, along with a strong background in import and export processes and customer service within a logistics or freight environment. You will have excellent communication and presentation skills, with the ability to engage confidently and professionally with stakeholders at all levels, both internally and externally. Strong interpersonal skills and the ability to build effective working relationships are essential.
A strong interest in healthcare logistics is key, along with a clear understanding of the importance of accuracy, compliance, and speed in this specialist sector.
You will be proficient in Microsoft Office programmes, Cargowise experience is desirable. You will have excellent verbal communication to ensure clear understanding and effective coordination of operational requirements.
