YOUR ROLE
As part of the country level operations team, this role is primarily accountable for the transactional and administrative execution of all shipment level operational tasks in alignment with global station. This individual will act in accordance with strategy, tactical and operational guidance put in place by the AIR product organisation. The individual will be expected to execute their role in accordance with CEVA operational excellence guiding principles.
Primary responsibilities include the daily delivery of superior operational administration, proactive service recovery and constant communication excellence all contributing to the overall customer satisfaction when engaging with CEVA. The individual will be tasked with executing all process and procedural requirements captured within the AIR IMPORT operational scope including the input & enrichment of shipment data (into the designated core operating systems & solutions) as well as the co-ordination and distribution of all shipment related information, status updates and required documents. This role is primarily responsible for the management & maintenance of the freight booking, booking optimization according to internal guidelines (as defined by Product) as well as the customer collection/pickup/final mile delivery arrangement and onward forwarding requirements, in conjunction with all service partners and internal colleagues / departments.
Ensures customer requirements are met and takes corrective actions in case of deviations from customer requirements. Quality & Compliance adherence. Ensures documents are completed and updated in a timely and efficient manner and according to regulations and internal procedures. Interacts with Customer Service, Product, and Global Business Services, where applicable.
WHAT ARE YOU GOING TO DO?
- Review all documents including pre-alert, e manifest, draft INV and handle other tasks as needed. The individual in this position must be capable of performing all the essential functions with or without a reasonable accommodation
- Checks all required Import documents from counterparts (carrier, consignee, supplier, etc.) to ensure documents are complying with customs regulation and internal procedures
- Ensure regulatory compliance by administering company policies and procedures and by establishing audit procedures
- Keep internal and external customers updated regarding the arrival of shipments, any delays of their cargo, and when their shipments are available for pick up and/or delivery.
- Maintain close liaison with the accredited broker and other government agencies for various specialized Customs clearance requirements.
- Filing and safe keeping of Shipment file and other necessary documents for future reference
- Ensures implementation of customer SOP – traffic analysis
- Monitoring of KPI agreement based on contract or agreed SOP
- Acts as key contact for customer service teams / manages adhoc & on demand engagement
- Accepts and monitors shipment / registrations of shipment ID (if needed) as part of the station process
- Creates and confirms transport order to ensure pickup of the shipment at origin
- Performs booking and booking optimization according to internal guidelines as defined by Product
- Prepares, controls and distributes all required Import documents from counterparts (carrier, consignee, supplier, etc.) complying with regulations and internal procedures
- Checks responses from counterparts and finalizes validation of required documents
- Follows-up shipment status in the Import area, identifies incidents and ensures resolution of incidents
- Supports Customer Service in the incident and exception management resolution
- Maintains excellent relationships with suppliers / carriers etc
- Responsible for identifying performance issues of suppliers and proposes solutions to improve/correct performance
- Performs IT systems related tasks to provide up to date information on shipment
- Interacts with Customer Service, Product, and Global Business Services, if required
- To abide to the Compliance Policies and Procedures of the Company
- Active participation in the operational process contributing positively to Countries SLA’s and Country operational KPI’s
- Individuals fulfilling this role is expected, as a minimum, to manage and maintain individual level profitability, revenue recognition and cost control leading to the highest level of financial health per shipment
- Take reasonable care of their own and other people’s Health and Safety in the workplace
- Report hazards in your work or in your environment that may be putting you or anyone’s Health & Safety at risk. Ensure compliance with company policies and procedures, ISO standards and all applicable regulatory laws and guidelines
- In addition to this, you are required to carry out any other duties as reasonably required by your manager
WHAT ARE WE LOOKING FOR?
• Bachelor’s degree or higher from an accredited college or university
• Knowledgeable in Customs Procedure
• Knowledgeable in Air Cargo Freight Forwarding
• Knowledgeable in Electronic Submission of Manifest
• Minimum 3 years working experience Freight Forwarding-Airfreight/Customs Brokerage
• Knowledgeable in Air cargo tracking
• Computer literacy, including knowledge of Microsoft Office applications
• Strong time management and organizational skills
• Ability to meet deadlines
• High attention to detail
• Ability to work well in a busy environment and to juggle multiple tasks simultaneously
