Position Title: Administrative Assistance Administrator (Site Based)

Position Overview:
The Administrative Assistance Administrator plays a pivotal role within the Logistics Operations division by efficiently coordinating and executing essential administrative activities that support the supply chain process. This role is responsible for managing purchase orders, supplier communications, and the receipt of materials, ensuring the seamless availability of resources needed for operations. Working closely with various internal departments such as warehouse, finance, and operations, the incumbent helps maintain operational continuity and adherence to organisational policies.
Key Responsibilities:
- Generate, process and monitor purchase orders (POs) within the designated ERP systems, ensuring accuracy and compliance with procurement standards.
- Establish and maintain effective communication channels with suppliers to track order status, delivery schedules and resolve any discrepancies.
- Coordinate the receipt and inspection of materials and supplies, validating quantities, quality standards, and documentation.
- Maintain comprehensive and up-to-date records related to purchases, deliveries, invoicing, and vendor performance.
- Address and facilitate resolution of supplier issues including delays, shortages, returns and related inquiries in collaboration with relevant stakeholders.
- Collaborate proactively with internal teams—warehouse, finance and operations—to support inventory management and financial reconciliation processes.
- Ensure compliance with established administrative procedures and procurement policies, contributing to continuous process improvement.
Candidate Profile and Requirements:
- Technical diploma or bachelor’s degree in Administration, Logistics, Supply Chain Management, or a related discipline.
- Minimum of 2 years of experience in administrative roles within purchasing, procurement, or logistics environments.
- Proficiency in managing purchase orders and vendor relations with a strong emphasis on operational accuracy.
- Experience using ERP systems such as SAP, Oracle or equivalents, along with intermediate skills in Microsoft Excel for data management and reporting.
- Excellent organisational capabilities with an eye for detail in record keeping and process compliance.
- Strong interpersonal and communication skills to liaise effectively with suppliers and internal teams.
- Problem-solving aptitude and a proactive approach to handling supply chain irregularities.
