About the role
We are looking for a Project Logistics Administration Specialist to join our Project Logistics team in Italy, based in Milan/Pantigliate.
Your role will primarily involve administrative and back-office activities, providing direct support to management and the Business Development team. You will be the key point of contact for internal processes relating to customers, contracts, quotations, and online portals.
What you will do

Manage customer qualification on online portals, including registrations, document uploads, and status updates.

Support contract and signature management, including NDAs, purchase orders, and addenda, ensuring proper filing and monitoring deadlines and renewals.

Collect and manage QHSE documentation for on-site activities carried out through subcontractors, ensuring compliance with internal standards and customer requirements.

Provide post-order customer support on documentation-related matters, such as claims, non-conformities, and other requests, in coordination with internal departments.

Administer access to and use of customer portals, including tenders, quotation uploads, and Q&A activities.

Support the preparation of technical and commercial quotations, and update internal systems and customer databases with accurate information.

Coordinate with internal functions—including Finance, QHSE, Operations, Legal, and Administration—to collect the documents and information required for tenders, contracts, and customer registrations.

Provide administrative support to management, including meetings, presentations, and correspondence, and contribute to improving sales-support processes.

Who we are looking for

You have excellent organizational skills and strong attention to detail.

You are comfortable with administrative and bureaucratic tasks: documents, portals, deadlines, and procedures do not intimidate you—in fact, you enjoy them.

You have some experience, even if limited, in administrative roles, commercial back office, or sales support; experience in logistics is a plus.

You have a good command of Microsoft Office; experience using CRM or sales-support systems is considered an advantage.

You communicate clearly and effectively with both colleagues and customers, in writing and verbally.

You are proactive and collaborative, enjoy working in a team, and are eager to learn and grow.

You are fluent in spoken and written Italian and English and are able to manage documentation in English.

Contract type: Permanent
CCNL: Logistica, Trasporto Merci e Spedizione
Working hours: Full-Time
Gross annual salary / RAL: € 30.000 – € 35.000
