CEVA Freight Italy S.r.l. is seeking a dedicated and detail-oriented Logistics Operations Administrator to join our Ocean Operations team based in Padova. This position plays a crucial role in supporting our logistics activities, ensuring seamless coordination and execution of ocean freight operations within a dynamic and fast-paced environment.

Role Summary

As a Logistics Operations Administrator, you will contribute to the efficiency and success of our ocean freight services. You will handle the administrative and operational processes that support cargo movements, interfacing closely with internal teams, clients, and external partners. This role requires excellent organisational skills, a proactive approach, and the ability to manage multiple priorities simultaneously.

Key Responsibilities

• Coordinate and manage day-to-day operational tasks related to ocean freight shipments to ensure compliance with company procedures and international regulations.
• Prepare, review, and process shipment documentation such as bills of lading, customs paperwork, and shipping instructions accurately and in a timely manner.
• Communicate effectively with carriers, agents, and customers to confirm schedules, resolve issues, and provide status updates on shipments.
• Monitor shipment tracking and collaborate with relevant departments to address delays or discrepancies promptly.
• Support the Ocean Operations team in administrative activities including data entry, report generation, and filing to maintain operational records and compliance.
• Assist in preparing operational reports to analyse turnaround times, shipment volumes, and identify areas for service improvement.
• Ensure adherence to company safety standards and promote best practices within the logistics operations.
• Contribute to continuous improvement initiatives by providing feedback and suggestions to streamline processes and enhance efficiency.

Qualifications and Skills

• Previous experience in logistics administration, preferably within ocean freight or a similar supply chain environment.
• Strong understanding of ocean shipping processes, documentation, and relevant regulations.
• Proficiency in logistics software and standard office applications, such as MS Office Suite.
• Excellent organisational skills with strong attention to detail and the ability to handle multiple tasks efficiently.
• Effective communication skills to liaise professionally with diverse stakeholders, including carriers, clients, and internal teams.
• Ability to problem-solve operational issues calmly and proactively.
• Fluency in English and Italian is required; additional language skills are an advantage.
