CEVA Air & Ocean Italy S.P.A., a leading logistics provider within the global Ocean division, is seeking a dedicated and detail-oriented Logistics Operations Administrator to join our team in Roma, Via A. G. Eiffel. This role is integral to ensuring the smooth and efficient operation of logistics activities specifically focused on the pharmaceutical and healthcare sectors within Italy.

As a Logistics Operations Administrator, you will play a critical role in supporting the planning, coordination, and execution of air and ocean freight operations. Your responsibilities will include managing daily operational tasks, liaising with clients and internal teams, and ensuring compliance with industry regulations and company standards. You will help to facilitate the seamless movement of sensitive and essential products, contributing to the optimisation of supply chain processes in a dynamic and fast-paced environment.

Key Responsibilities:

  • Coordinate day-to-day logistics operations for air and ocean freight within the pharmaceutical and healthcare segments, ensuring adherence to all timelines and quality standards.
  • Maintain accurate and up-to-date documentation, including shipment records, customs paperwork, and compliance certifications, to support regulatory requirements.
  • Communicate effectively with clients, carriers, customs authorities, and internal departments to resolve operational issues and enhance service delivery.
  • Monitor cargo status and proactively manage any delays or disruptions, providing timely updates and alternative solutions.
  • Collaborate closely with the Ocean Operations unit to synchronise activities and optimise resource utilisation across logistics projects.
  • Assist in developing and implementing process improvements to increase efficiency, reduce costs, and maintain high-quality service levels.
  • Ensure strict compliance with pharmaceutical handling and transportation standards, including temperature control and safety protocols.

Qualifications and Skills:

  • Proven experience in logistics operations, preferably within the pharmaceutical or healthcare logistics sectors.
  • Strong organisational skills with an exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent communication skills, both written and verbal, to interact confidently with diverse stakeholders.
  • Proficient in common logistics software and Microsoft Office applications, with the ability to quickly adapt to new tools and systems.
  • Good knowledge of regulatory requirements relevant to pharmaceutical and healthcare logistics.
  • Ability to work collaboratively within a team and contribute to a positive and inclusive working environment.
  • Fluency in English and Italian is essential for effective communication within the multinational context of CEVA Air & Ocean Italy.
