YOUR ROLE

  • Ensure the quality of cosmetic goods at the 3PL warehouse throughout the Inbound – Storage – Outbound – Returns/Claims processes; comply with FEFO/Shelf-life requirements and minimize customer complaints.
  • Handle customer feedback and complaints when issues arise.
  • Manage data synchronization between the company’s system and the 3PL to ensure smooth operations.
  • Inspect product quality at the 3PL warehouse and perform other related tasks as assigned by the supervisor.

 

WHAT ARE YOU GOING TO DO?

QC Inbound

  • Receive ASN/inbound plan; check receiving conditions (slot, area, tools/equipment, 3PL manpower).
  • Inspect inbound shipments: external condition, packaging, product printing information, seal, labels, batch/lot, MFG/EXP; verify against PO/packing list and reference samples.
  • Perform inside inspection: evaluate internal product quality based on QC defect criteria.
  • Inspect according to checklist/AQL based on risk level (High/Medium/Low); take photos/record defects.
  • Prepare incident reports; propose handling actions; follow up on re-check/100% check when required.
  • Control system receiving data: Lot/Date/UOM/Qty, and ensure proper status (Quarantine/Hold/Available).
  • Ensure timely processing upon goods arrival.

Quality Control in Storage (FEFO/Shelf-life)

  • Monitor storage conditions: temperature/humidity, hygiene, pest control, quarantine/hold areas.
  • Control FEFO & shelf-life rules by channel; alert for near-expiry items or items exceeding shelf-life limits.
  • Conduct periodic stock condition checks: crushed cartons, broken seals, peeling labels, discoloration/leakage.
  • Coordinate with 3PL to perform repack/relabel/relocation/lot-splitting; ensure traceability by lot/date.

QC Outbound at 3PL (Picking – Packing – Handover)

  • Set control points before dispatch: correct SKU/lot-date/quantity/labeling.
  • Monitor FEFO compliance: pick by lot/date, scan lot/date (if system supports).
  • Check packing standards per BU (H&A, H&B): shock prevention, leak prevention, sealing, carton condition.
  • Handle mismatches: wrong lot, short/over, wrong label; isolate – re-check – issue report – close defect.

Returns / Claims / Complaints

  • Receive return/claim cases: collect evidence (photos/videos/POD), classify root cause (quality/transport/operations).
  • Coordinate return receipt at 3PL: provide packing instructions, schedule receipt; count & record items.
  • Conduct QC on returned goods: conclude accept/reject; propose actions (re-stock/hold/disposal/return to vendor).
  • Participate in RCA investigation; propose CAPA and follow up until closure.
  • Coordinate with Sales/CS/Finance for credit note/compensation processing according to policy.

Recall / Product Withdrawal

  • Upon recall activation: trace batches/customers/warehouses/channels; coordinate with SCM/3PL to block affected batches immediately.
  • Coordinate recall execution: provide return instructions; receive recalled goods into quarantine; reconcile quantities.
  • Participate in recall handling decision: disposal/rework/replacement per QA/Medical/Management guidance.
  • Prepare recall reports and maintain traceability records as required by internal/external regulations.

Document Control – 3PL Audit – Quality Improvement

  • Maintain/update QC SOPs & checklists (Inbound/Outbound/Storage/Returns/Recall).
  • Train/remind 3PL operation teams on compliance; monitor execution.
  • Participate in regular/ad-hoc audits at 3PL; follow up CAPA until closure.
  • Manage documentation on DMS: reports, photos, QC conclusions, CAPA, audits.

Reporting & 3PL Quality KPIs

  • Prepare weekly/monthly reports: inbound defect rate, outbound defect rate, shelf-life risk, claim trends, audit scores.
  • Analyze recurring issues weekly; propose action plans to reduce defects and track improvement effectiveness.
  • Provide early warnings on quality risks impacting SLA/complaints.

 

WHAT ARE WE LOOKING FOR?

  • College/University degree in a related field (Logistics/Supply Chain/Transportation/Business, etc.)
  • English: Conversational level
  • Experience: At least 3 years of relevant experience
  • Computer skills: Proficient in Microsoft Office
  • Ability to use supply chain management software (SCM) or warehouse management systems (WMS).
  • Strong planning and negotiation skills.
  • Professional communication skills.
  • Results-oriented mindset, positive attitude, and strong work ethic.
  • Ability to work both independently and as part of a team.
  • Careful, responsible, and honest at work.
  • Strong problem‑solving ability
