YOUR ROLE
- Receive, register and validate customer orders in the TMS, in line with quotations, cargo specifications, SOPs, etc.
- Define the best execution plan in terms of transport solutions, taking into account transit time, costs and any operational constraints/embargoes, together with CES (Customer Expert Solutions).
- Handle all administrative aspects of the process, including commercial invoices, packing lists and related documentation.
- Check goods availability for collection and obtain confirmations to ensure proper progress of the transport process.
- Optimize operational execution and prepare the transport plan/booking in cooperation with CES (Customer Expert Solutions).
- Enter and update transport information in the TMS accurately and concisely.
- Prepare transport documentation in accordance with customer instructions.
- Manage communications and documentation with suppliers (internal and external).
- Create and update events in the TMS.
- Monitor and improve supplier performance using available tools and solutions.
- Coordinate with CES and record any issues/anomalies in the appropriate logs.
- Ensure the process is complete from a documentation and compliance perspective and upload all documents to the TMS.
- Support internal billing by validating all related costs.
- Issue and send invoices and related documentation to customers.
- Participate in commercial/sales meetings when requested.
- Follow up and manage significant operational deviations, informing management and/or central divisional services (legal, insurance, etc.) together with your hierarchy.
- Report any malfunction/anomaly in accordance with company procedures.
- Liaise with the QHSE manager to ensure proper understanding and application of the quality management system.
