Key Accountabilities
- Ocean Export Operations: Handle and process ocean export shipments, including booking, documentation, customs clearance, and coordination of delivery.
- Ensure all export shipments meet customer requirements, are delivered on time, and comply with regulatory standards
- Customer Communication & Support: Serve as the primary point of contact for customers, providing updates on shipment status, addressing inquiries, and resolving any issues or concerns.
- Proactively inform customers of any potential delays, changes, or issues that may affect their shipments.
- Documentation Management: Prepare and manage all necessary export documentation, such as bills of lading, commercial invoices, packing lists, and export declarations.
- Ensure that documentation is accurate, complete, and compliant with international regulations and customer requirements.
- Carrier & Vendor Coordination: Liaise with ocean carriers, freight forwarders, and other third-party providers to ensure optimal shipping routes, timely pickups, and accurate invoicing.
- Manage shipment bookings, space allocation, and track containers to ensure on-time delivery.
- Issue Resolution & Problem-Solving: Proactively identify and resolve any issues related to shipments, including delays, damage, or discrepancies. Work with internal and external stakeholders to find solutions and mitigate potential disruptions in the supply chain.
- Invoice & Billing: Ensure accurate billing and invoicing for ocean export services, working with the finance team to resolve discrepancies or issues.
- Review and verify carrier invoices, ensuring they align with agreed rates and contractual terms.
- Compliance & Regulations: Ensure that all ocean export shipments comply with relevant import/export regulations, customs requirements, and company policies.
- Stay up to date on international trade regulations, including customs documentation and export controls
- Performance Reporting: Provide regular updates on operational performance, customer feedback, and any challenges faced.
- Assist in identifying areas for process improvement to increase operational efficiency and customer satisfaction.
Required Experience & Skills
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field (or equivalent work experience
- Minimum of 3 years of experience in customer service or ocean export operations
- Strong understanding of ocean freight processes, export documentation, and international shipping regulations Excellent communication skills, both verbal and written, with the ability to interact effectively with customers, carriers, and internal teams.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficiency in MS Office and experience with logistics software or transport management systems (TMS).
- Strong problem-solving and conflict-resolution abilities
